Collabrio Privacy Policy

Collabrio is operated by Broadworld LLC, a California limited liability company (“we,” “us”). We provide property-management software to property management organizations (“customers”) and portal services to the tenants, applicants, owners, and vendors those organizations invite (“portal users”). This policy explains what information the service handles, how it is used, and the choices you have. It applies to our web applications and our iOS and Android apps. The same policy is served in-product at app.collabrio.com/privacy and portal.collabrio.com/privacy.
Your data belongs to you
Data entered into Collabrio — properties, leases, tenant records, documents, photos, messages, financials — belongs to the customer organization that entered it. We process it solely to operate the service on that organization's behalf. We do not use your data for marketing, do not sell it, do not rent it, and do not use it to advertise to you or anyone else.
What we collect
- Account information — name, email address, phone number, and a password (stored only as a salted argon2 hash; we cannot read it).
- Content you provide — property, lease, maintenance, accounting, and application records; documents and photos you upload, including photos taken with the in-app camera (used only as attachments you create; the camera is never accessed in the background).
- Payment records — payments are processed by Stripe; we never see or store card numbers, only transaction outcomes and invoice metadata.
- Security logs — sign-ins and data access are recorded (who accessed what, from where, and when) in a separate audit log we keep to protect your account and meet compliance obligations.
Cookies and analytics
The applications do not set advertising or cross-site tracking cookies. Your session is kept in your browser's or app's local storage. On our public marketing pages we use Google's measurement tools (Google tag) to understand whether our own promotions are effective; this measurement is not connected to the data inside your Collabrio account and is never used to profile or market to signed-in users.
AI features (opt-in)
If — and only if — your organization enables the optional AI document features, the documents you choose to process are sent to a third-party large-language-model provider to extract, index, or enhance them at your request. This is off by default, is controlled by your organization's administrator, and can be disabled at any time in Settings → Integrations. We do not permit providers to train their models on your data.
When we share data
We share data only with the subprocessors needed to run the service — hosting infrastructure, Stripe (payments), our email delivery provider, and, when your organization opts in, connected integrations you authorize (such as DocuSign and Intuit QuickBooks Online) and the AI provider above — each bound by contracts limiting use to providing their service. We disclose data if the law requires it. We never share it for advertising.
Connected integrations (including QuickBooks Online)
When your organization connects an integration such as Intuit QuickBooks Online, we exchange only the data needed to provide the feature (for example, mirroring rent receipts and journal entries into your own QuickBooks company file). Integration credentials are stored encrypted, are used solely to act on your instructions, and the connection can be revoked at any time from Settings → Integrations or from the provider's own app-management page.
Security
Data is encrypted in transit (TLS) and at rest. Each organization's data is logically isolated and every access is authorized against role-based permissions and recorded in the audit log. Secrets and integration credentials are stored encrypted.
Retention and deletion
We keep your data for as long as your organization's account is active. You can delete your account from inside the app (manager app: Settings → Delete my account; portal: Account → Delete my account). Deletion removes your login identity immediately and permanently; records the organization is legally required to keep (e.g., accounting entries, audit history) are retained by the organization with your personal identifiers scrubbed where the law allows.
Your rights
Depending on where you live (GDPR, CCPA, and similar laws), you may have rights to access, correct, export, or erase your personal information, and to object to processing. For data your property manager controls, we will route your request to them and assist; for account data we control, contact us directly and we will respond within 30 days.
Children
The service is a business tool and is not directed at children under 13, and we do not knowingly collect information from them.
Changes
If we make material changes we will update this page and note the new effective date, and notify organization administrators by email.
